How Can I Improve Reporting in My Facility with Command Cloud?

In the fast-paced world of corrections, every shift has the potential to bring new challenges, unexpected moments, and critical responsibilities. From overseeing inmate meal passes to conducting compliance checks, officers work diligently behind the scenes to ensure the facility remains safe and secure. Yet, there is one tool that is often overlooked despite being essential to success: reporting.

Those on the front lines understand that a well-written report isn’t just “fluff documentation”—it’s a tool that keeps staff accountable while maximizing compliance. Accurate, timely reports turn what staff see on the floor into actionable insights for improving facility operations. This includes helping identify patterns, preventing incidents, and making more informed decisions.

In this blog, we will cover how Command Cloud streamlines the reporting process to deliver accurate, defensible records that drive operational excellence.

 

Reporting with Mission Command

With the exception of Compliance Monitor, every dashboard within Command Cloud’s Mission Command functions as an exportable report. The command pillar tabs displayed on the left side of Mission Command are powered by data captured by officers using Mobile Command XR, Command Cloud’s mobile inmate tracking system. Each tab corresponds to a specific module on the officers’ SPARTAN device, and all of them operate as dynamic, exportable reports.

As officers use their SPARTANs to capture data in Mobile Command XR, the data is continuously synced into Mission Command, creating a real-time common operating picture of the entire facility. Mission Command’s exportable dashboards include:

  • Activity Stream: Logs from all modules over the selected timeframe
  • Observation Checks: Lists all observation checks, late checks, and compliance checks within the selected timeframe
  • Movements: Breaks down all inmate movements, tracks inmates currently out of their cells, and monitors out-of-cell time and movement compliance
  • Meals: Displays all current and historical meals, along with any meal restrictions
  • Recreation: Shows inmates currently out for recreation, as well as provides past recreation logs
  • Supplies: Outlines all issued returnable and dangerous items currently issued out to inmates, along with a log history of issued supplies
  • Special Statuses: Highlights inmates assigned special statuses, including compliance considerations, special information, and meal restrictions
  • Medication Manager: Centralizes all medication-related data, including orders, inventory, medical restrictions, and restriction history
  • Population: Lists all inmates in custody, including their home and current locations
  • Tasks: Outlines all active, scheduled, and archived tasks with details
  • Headcounts: Breaks down active formal headcounts, completed formal headcounts, and completed informal headcounts
  • Keep Separate: Displays all current and past assigned Keep Separates, as well as instances where Keep Separates were overridden (along with any justifications)

In addition to these, Mission Command also includes Reports—a centralized dashboard that organizes and provides access to a variety of dynamic, prebuilt reports.

Mission Command’s Prebuilt Reports

In Mission Command, users can select Reports from the left-hand command pillar to access various prebuilt reports, each designed to deliver actionable insights from data captured within Mobile Command XR. Together, they enhance visibility, accountability, and operational awareness. Available reports include:

  • All Module Report: Provides a comprehensive list of information collected from every module within Command Cloud, giving staff a clear picture of what is happening across the facility. This report is filterable by Start Date, End Date, Location, Inmate, Module, and Officer.
  • Wristband Report: Allows staff to search for specific inmates and print their identification information on an insert for the inmate’s wristband. If an inmate’s wristband is broken, lost, or damaged, officers can quickly locate the inmate in the wristband report, retrieve the necessary identification information, and print a replacement wristband.
  • Compliance Late Check Report: Compiles all instances where a specific location was flagged for having a late check, making it easy to identify areas of non-compliance and assess late check justifications. Users can filter this report by Start Date, End Date, Location, and Officer.
  • All Checks Report: Displays every location where timers were updated due to scans, movements, or JMS updates—including both late and missed checks. This report is filterable by Start Date, End Date, Location, and Officer.
  • ID Card Report: Enables staff to search for a specific inmate and generate a printable ID card. If an inmate’s ID card is lost or damaged, this report provides a seamless way to quickly produce a replacement with all necessary information.
  • Officer Stats Report: Summarizes the selected officer(s) performance using Command Cloud over a selected date range. These statistics provide clear visibility into officer activity, accountability, and compliance across multiple areas.
  • Housing Assignment History Report: Lists all housing changes within a specified date range and can be further filtered by Inmate and Location. This report supports population management by tracking all housing adjustment logs, promoting accuracy and accountability.
  • Medication Order History Report: Displays all medication orders over a specified date range. This report can be filtered by Date, Inmate, Medication, and Administration Times, and can be toggled to show inactive inmates. This allows administrators to access records when addressing complaints, enhancing defensibility against false claims.
  • Medication Inventory History Report: Shows all inventory adjustments over the selected date range. This report is filterable by Start Date, End Date, Medication, Inventory Ownership Type, Status, Staff, and can be toggled to show inactive staff.
  • Medication Administration Record Report: Provides a comprehensive record of every medication administered within the facility—including over-the-counter (OTC) medications—along with their corresponding actions, over a specified date range. Users can filter by Date, Inmate, Medication, Action Type, Administering Staff, and can be toggled to show released inmates and inactive staff. This report directly replaces paper MAR reports.
  • Time Tracking Report: Highlights historical time tracking data that documents and provides a detailed breakdown of each instance an inmate was offered out-of-cell time in a configured location. This report can be filtered by Start Date, End Date, Housing Location, and Inmate.
  • Recreation Report: Displays historical data on offered, accepted, and declined Recreation time and allows users to view records of inmates who were released. Users can filter this report by Date, Location, Inmate, Officer, and can toggle to show released inmates, inactive officers, and only show records with media.

Each dashboard and report is fully adaptable, empowering users to display and pull as much or as little data as they need. Flexible filters make it easy to narrow in on results and focus on the most relevant insights.

Can these reports be exported and shared?

Yes, each dashboard and report can be exported in PDF or CSV file formats. Once the reports are downloaded, they can be shared at the staff's discretion.

Visualizing Data with Operational Intelligence

Command Cloud also extends Mission Command’s reporting capabilities through its Operational Intelligence (OI) platform. All data collected and stored within Command Cloud seamlessly integrates into OI, enabling more dynamic and visually engaging reporting. Instead of relying solely on traditional table views, like those in Mission Command, users can now explore their data through interactive graphs and charts.

Operational Intelligence is composed of ten dashboards, including:

  1. Rounds Compliance: Displays check completion using orange bars for late checks and blue bars for total checks, as well as advanced filtering to highlight compliance and overall performance.
  2. Late Checks: Highlights late checks with any added officer justifications and supervisor comments.
  3. Observations: Shows all observation checks, including officer and location observations, with filtering options to narrow results.
  4. Meals: Tracks meals and visualizes potential trends, such as when inmates repeatedly refuse their meal offerings.
  5. Special Statuses: Displays all assigned special statuses, which can be filtered by status and location.
  6. Inmate Demographics: Breaks down information entered into Command Cloud via JMS or manual entry, often including gender ratio, age distribution, days in custody, and booking and release data.
  7. Movements: Highlights inmate and officer movements—including common locations, average time spent, and out-of-cell activity—helping monitor inmate transports and recreation compliance.
  8. Supplies: Oversees items issued by officers, ensuring returnable or dangerous supplies are properly tracked and returned, as well as necessary supplies (e.g., toilet paper, feminine hygiene products, and other personal hygiene products) are provided.
  9. SPARTAN Statuses: Lists all facility SPARTANs, including device names, timestamps, assigned officers, and last sync times. This helps locate any missing devices by identifying who last used them and when they were last active.
  10. Email Snapshots: Provides a quick overview of key metrics—such as total checks, late checks, and on-time ratios—ideal for summary emails, daily updates, and shift briefings.

Operational Intelligence gives staff, particularly upper management, a clearer, more impactful view of officer performance and facility activity. By transforming raw data into visual insights, trends in performance become immediately apparent, helping staff:

  • Synthesize Issues: Dashboards provide facility-wide overviews of workflow compliance (e.g., security rounds by shift, housing unit trends).
  • Diagnose Root Causes: Drill-down features empower supervisors to move from broad compliance percentages to specific officer performance.
  • Provide Coaching Opportunities: Identifying high, middle, and low performers gives supervisors actionable teaching opportunities backed by data.

Anybody who’s not using OI is immediately at a disadvantage in 21st-century corrections.

Can I schedule OI reports to be emailed automatically?

Yes, OI reports can be scheduled to be sent to the email address associated with your OI account. To do this, select SUBSCRIPTIONS from the blue bar located at the top of each dashboard. Then, complete the desired fields to set up your custom subscription—including the day(s) of the week, time, frequency, subject, format, and optional message. Once those are filled out, select SUBSCRIBE to save.

Once the report is received via email, it can be forwarded to any other recipients as needed.

To edit or cancel an active report subscription, click SUBSCRIPTIONS in the top blue bar, then MANAGE SUBSCRIPTIONS to view the full list. From there, select the three dots under ACTIONS to change the frequency, subject, or format—or to unsubscribe entirely.

Effective reporting is more than just documentation—it’s a cornerstone of safety, accountability, and operational excellence in corrections. Command Cloud’s reporting tools help streamline compliance tracking, monitor performance, and provide a transparent picture of day-to-day operations, turning everyday activity into actionable intelligence that strengthens data-driven decisions and elevates facility confidence and performance.
