How Can I Create a Compliance Check Schedule with Command Cloud?

Keeping both inmates and staff safe is the top priority in correctional facilities—and that starts with regular compliance checks. Routine rounds not only confirm that every inmate is accounted for and located where they’re supposed to be, but they also safeguard inmate well-being. By ensuring consistent oversight, rounds reduce the risk of incidents such as self-harm, medical emergencies, or altercations from going undetected.

Of course, not every corner of a facility requires constant supervision. Some cells may be vacant at times or only require monitoring during specific hours. This is where Command Cloud steps in, giving staff the flexibility to customize checks to their facility’s specific needs.

This blog outlines how to schedule compliance checks to align with your unique operational priorities, and how to determine when and where they are most effective.

 

Mobile Compliance Monitor: Compliance Made Simple

Command Cloud’s mobile inmate tracking countdown tool, Mobile Compliance Monitor (MCM), is designed to transform the way correctional officers perform compliance checks by driving maximum awareness and accountability. With its digital countdown timers, MCM helps officers stay informed about exactly when each check is due, helping staff consistently remain on schedule and comply with facility compliance standards without guesswork. 

MCM makes this possible through its intuitive features, such as:

  • Real-time alerts: Officers receive notifications when checks are coming due or overdue, based on the configurable Max Check Time—the administrator-defined limit for how long can pass between rounds before one is marked late.
  • Customizable intervals: Checks can be scheduled at intervals, such as every 30, 45, or 60 minutes, to match your facility’s standards.
  • Color-coded status indicators: Bright colors help the officer quickly identify where they are in their rounds schedule with a quick visual glance of the easily noticeable colors on their screen.

While MCM is Command Cloud’s mobile inmate tracking countdown tool, it operates within the broader Mobile Command XR system. As an upcoming compliance check approaches its due time, the officer locates the RFID Hard Tag associated with the specific location or inmate and scans the tag using Mobile Command XR. This action resets the digital timer, captures the check’s completion, and securely syncs the data to the cloud.

However, some facilities don’t have areas that require continuous monitoring, raising questions about how MCM handles less frequent checks, including:

  • Is it necessary to use Mobile Command XR or MCM in areas of the facility that don’t require compliance checks at all times? 
  • If certain areas only require compliance checks on particular days or hours, and are left unobserved outside of those times, would those specific areas be counted as missed or late checks? 
  • Can MCM be configured so that checks in specific areas are excluded when they’re not required, without affecting the facility’s overall compliance? 

To meet the unique needs of any facility, MCM has enabled various features to be customizable—including scheduling the compliance monitor to be active in specific areas when necessary.

 

Tag Scheduling in Command Cloud

Whether it's a temporary housing unit or a booking area that's only open on weekdays, not every single area in your facility requires constant monitoring. That’s why MCM was designed to permit system administrators to configure a schedule that aligns with the facility’s compliance policies and operational standards by only operating in specific locations during certain times of the day or week. 

This is otherwise known as “tag scheduling”, as each specific location that staff would like to schedule is associated with an RFID Hard Tag. 

Creating a tag schedule ensures that officers are only notified about checks that need to be performed, allowing them to focus only on active areas and schedules, avoid unnecessary alerts, and reduce the risk of late or missed checks.

How to Create Tag Schedules in Mission Command

To create a tag schedule, staff must first log into Command Cloud’s Mission Command. Your agency’s system administrators will have access to the Manage Compliance Monitor screen, where they can create and manage schedules for each specific location tag. Creating a schedule can be accomplished by following these steps:

  1. Click “Create Compliance Schedule”
  2. Fill out the respective fields, including:
    1. Schedule Name
    2. Select Location(s) from the dropdown
    3. Scheduled Days
    4. Scheduled Run Time
    5. New Default Check Time
    6. New Monitor State
  3. Click “Submit”

This defines the specific days and times the schedule is active or inactive. You can either create a mass schedule for all Hard Tags within an area—like selecting multiple location tags at once—or configure each location tag individually. Once the schedule is activated and saved in Mission Command, it will automatically sync with Mobile Command XR and appear on the officers’ MCM. 

During the days and times when the compliance schedule is turned off, the location will not appear in MCM. Officers will not receive alerts for that location, and they will not be penalized for missed or late checks during those inactive periods. This ensures compliance isn’t compromised and officers aren’t receiving alerts for locations that don’t require checks, allowing them to stay focused on essential areas.

The process of creating a compliance schedule will be repeated at least twice for each location—once to set the schedule times and monitor when the tags should be changed or turned “ON,” and once to reflect when they should be changed again or turned “OFF.” If you don’t duplicate this action, you’ll need to manually turn your monitor on and off, as it won’t do so automatically.

 

When Would We Use Compliance Schedules?

There are a variety of ways a facility can use compliance schedules to help officers keep their attention on what matters most.

  • Adjusting for Facility Vacancies: Some facilities use schedules to account for weekends or periods of low occupancy. Instead of requiring the same level of monitoring for vacant areas, compliance monitors can be automatically turned off to reduce unnecessary alerts.
  • Increasing Checks During High-Risk Periods: Certain times of the week or day can require more frequent rounds for safety and compliance. Schedules allow facilities to automatically shorten the Max Time allotted between checks at specific locations to meet these heightened requirements.
  • Day vs. Night Monitoring Adjustments: Many jails set compliance monitors to reflect different activity levels throughout the day. For example, a location may require frequent checks during the day but less frequent monitoring overnight.
  • Customizing by Location Needs: Not all areas of a facility require the same monitoring. With schedules, facilities can tailor compliance requirements to the unique demands of each location, ensuring safety while reducing unnecessary workload.
